Space / Moves / Move Scenario Planner process
Move Scenario Planning: Overview
As a Move Scenario Planner, you use move scenarios to help you plan group moves involving employees and teams. Move scenario planning enables you to coordinate and analyze a move before executing it.
You experiment with alternative space layouts and employee assignments scenarios. This involves:
- Adding employees and teams from the group move project to your inventory floor plans or layout scenarios (alternate configurations of your floor plans, or new floor plans for space you might acquire).
- Deciding on a scenario that best suits your needs.
- Updating your group move project's "To location" fields with the employee locations from the scenario.
Note: You can create move scenarios only for employee or team group moves. You cannot use this feature with other types of group moves or with individual moves.
Accessing the Move Scenario Features
To develop and evaluate alternative move scenarios, a Move Scenario Planner works with the Move Console. See Move Console: Overview.
You can also create move scenarios at multiple points in the project lifecycle, as listed below:
When you create move scenarios from ... | You can work with move projects with these statuses ... |
---|---|
Move Coordinator / Move Console |
Requested Requested - Routed for Approval Approved |
Move Requestor / Edit My Group Moves / Create Move Scenarios (Optional) tab |

Move Coordinator / Review and Estimate Group Moves task / Create Move Scenarios (Optional) tab |

Move Coordinator / Issue task / Create Move Scenarios (Optional) tab | Approved |
Move Scenario Planner / Develop Move Scenarios task (This task is not available in the Space SaaS module.) |
Requested Requested - Routed for Approval Approved |
Additionally, users of the Moves application can work from the Move Scenario Planner process:
- Space / Moves / Move Scenario Planner / Review Group Moves. Review or edit group moves, and then use the task's Plan Scenario tab to create move scenarios for them. See Review and Estimate Group Moves.
- Space / Moves / Move Scenario Planner / Develop Move Scenarios. This task guides you through the steps of creating scenarios, placing employees in rooms, generating paginated reports, and updating the move project with the scenario assignments once you have selected the scenario you want to implement.
Note: The Create Move Scenarios tab offers the same interface and options as the Move Scenario Planner / Develop Move Scenarios task, below. The documentation in this section covers the move scenario features regardless of the task from which you access them.
Develop Move Scenarios: Procedure Overview
- Move scenarios are based on the employees and teams included in a group move project. First, you must develop the group move and assign employee and team moves to it. See Move Requestor / Request a Group Move.
- Select the move project for which you want to create move scenarios. See Develop Move Scenario / Move Projects tab.
- For the selected group move, create a new scenario or copy a scenario that you can refine. See Develop Move Scenario / Create Move Scenarios Tab.
- Optional: In addition to working with inventory floor plans in the move scenario, you can work with layout scenarios -- floor plans that show different configurations of the current space or the proposed space you will acquire.
- In this case, the CAD operator:
- creates a layout scenario by copying the existing inventory to a trial layer
- reconfigures the space on a trial layer
- publishes the changed floor plan as a layout scenario so that it is available in Web Central. For details on this process, see CAD User.
- In Web Central, the Scenario Planner adds the layout scenario to a move scenario. The layout scenario is now available for the move scenario planner to assign] employees to space.
- Ongoing: You may need several versions of a space configuration to determine the best way to place employees. As the move scenario planner and CAD operator work out the details of the layout, the move scenario planner can mark up the plans to communicate changes to the CAD operator.
- In this case, the CAD operator:
- On floor plans or layout scenarios, place employees in rooms to create an occupancy scenario. See Develop Move Scenario / Plan Move Scenario Tab.
Note: For more information on move scenarios, layout scenarios, and occupancy scenarios, see Terminology for Employee and Team Group Moves.
- Compare your various move scenarios to determine the best to implement. If necessary, you can export data and floor plans for others to review. See Develop Move Scenario / Review Move Scenario Tab.
- Once a move scenario is agreed upon:
- update the move project with the employee assignments of the selected move scenario. This fills in the "Move To" values for all the employees in the group move order. See Updating Move Projects.
- if using a layout scenario, the CAD user updates the official inventory drawing with the new configuration by merging the layout scenario and inventory. Notes that this must be done before the move coordinator issue the move order as the Issue command verifies that all To locations exist in the inventory.
- The CAD user can delete the extra layout scenarios using the Manage command.
