CAD User: Work with Layout Scenarios
Once layout scenarios are created, you can choose the scenario to work with and make changes to the space. For example, you might:

data edit the room asset symbols to change the room number.
- data edit the room asset symbols to change attributes such as division, department, type, category, and standard.
- delete rooms
- draw new rooms
- resize a room boundary
- update the walls, doors, and windows to accommodate a changed room polyline.
- You might want to do this now while experimenting with the layout; or, you might want to focus on the room polyline for the sake of the move scenario and later once a layout is chosen come back and adjust the walls, doors, and windows.
- Note that when merging the trial with the official inventory, changes to walls, doors, and windows are merged only if you are working with a new drawing that you created with the Create command
The list of changes that you make to the floor plan may originate from a mark-up created by the move planner or space planner in which they roughly outlined proposed changes for accommodating the employees who need to move. Or, your site may skip this process and have the CAD user figure out the best configuration of the space.
Selecting the Layout Scenario
- Start the Smart Client Extension for AutoCAD and open the drawing for which you want to work with a layout scenario.
- Activate the Layouts tab by selecting the Layout Scenarios command from the Synchronization ribbon.
- In the top option, select Rooms as the asset type.
- In the Select Layout box, the Layout tab lists all the layout scenarios in the Room Trials table as well as the corresponding inventory drawings. Use the Current Floor option to narrow the list to all layouts associated with the current drawing.
Note the following about the Select Layout
- the command uses this convention to name the layouts:
Building ID-Floor ID : Layout Name
. (Layout Name is the name of the prototype layer when defining a new layout scenario.) For example: HQ-17 : RM-SOUTH - For layout scenarios in new drawings with a drawing view, the name is "NEW-01: RM-TRIAL NORTHWEST".
- The Select Layouts list includes the inventory drawing (that is, the drawing whose room assets are stored in the Rooms table). In this case, the Layout tab adds "Inventory" to the building and floor name, such as "HQ-17 : Inventory."
- Although you load the inventory drawing in step 1, it is included in the Select Layout list so that you can easily toggle between any of the drawings and their layout scenarios in the project. For example, you might want to refer back to the original floor plan when making a change on a trial layer.
- If you do load the inventory drawing from the Select Layout list, be careful to return to a trial drawing to make your changes.
- the command uses this convention to name the layouts:
- Click on a Layout in the list and the appropriate drawing is loaded in AutoCAD.
- If needed, the drawing sets the current asset layer to the layer associated with the selected layout.
- The bottom portion of the Layout tab lists the assets in the selected layout.
Locating and Editing Specific Assets
Once you select a layout scenario, the Explorer pane lists all the assets for the scenario. From the Explorer pane, you can do the following.
Check the Values of an Asset
Click on an asset lists, and the program its values (non-editable) in the bottom portion of the Explorer pane. For example, in the below image room 305 is selected and its values appear in the bottom of the pane. Use this list to quickly check the values of an asset.
Locate the Asset in the Floor Plan
- Right-click on an asset in the list to access the pop-up menu.
- On the menu, click Go To.
- The drawing zooms to show this asset symbol.
Change the Asset's Values
As part of reconfiguring the space, you may need to assign rooms to new departments, change the standard or a room, renumber a room, and so on. You can access the Edit Data form for making these changes directly from the Explorer pane.
- Right-click on an asset in the list to access the pop-up menu.
- On the menu, click Edit Data.
- In the resulting Edit Data form, change the values as needed.
Making Changes to the Layout Scenario Drawing
Rooms
In addition to editing room asset symbols from the Explorer pane, you can use the standard AutoCAD and Archibus commands to edit the room asset symbols and create a new space layout. For example, you can:
- reshape room polylines
- delete room asset symbols
- renumber room asset symbols
- data edit room asset symbols to assign new standards, categories, types, divisions, and departments to rooms
- create new room asset symbols and assign them a number

Doors, Walls, and Windows
As part of reconfiguring the rooms, you may want to experiment with different configurations of walls, doors, and windows. For example, if you combine two offices into one room by deleting one room polyline and resizing the other, you may want to remove the wall lines between the rooms and remove the extra door.
If your layout scenario is on a new drawing, you can experiment with the wall, door, and window elements. When you merge the layout scenario with the inventory drawing, the changes to windows, doors, and walls will be applied to the inventory drawing.
Note: The default operation calls for merging the items on the WN, DR, WA, and A-GLAZ layers. If you have developed your own layers for storing this information or want to merge architectural components on other layers, you can set the layers by editing the <LayoutScenarios>
section of C:\Program Files (x86)\Archibus\xx.x\SmartClientSmartClientCommondll.config. <LayoutScenarios>

If you are working with trial layers on the original inventory drawing and you make changes to doors, walls, and windows, be aware that you are updating the actual inventory drawing with these changes. The walls, doors, and windows are not stored on trial layers as are rooms; when you edit them, you are editing them on the inventory drawing.
Refreshing Data
In most day-to-day usage, there typically is not a need to refresh data. However, it is possible for the data displayed in the drawing to get of sync with the current accurate data. This can happen when Web Central or Smart Client users modify the same data that is displayed in the AutoCAD Extension. In this case, you can use the Reload button to sync the data so that the Extension matches the current state of the database and the drawing.
Clicking on the Reload button:
- Requeries and caches the database records.
- Requeries and cache the drawing for assets in the drawing.
- Refreshes the list of assets in the Layout tab.
The Reload command applies only to the currently displayed Layout or Inventory drawing. If you want to reload data associated with other layouts, you must make that layout the current one, and then run the Reload command.

When you are satisfied with the layout scenario, you can publish it to an enterprise graphics file so that others can access it using Web Central.
