Working from the Maintenance Console or from the Maintenance Mobile App: Overview

Both supervisors and craftspersons can work from the Maintenance Console, or work from the Maintenance mobile app. See:

Both the Maintenance Console grid and the status-based menus found in the Maintenance mobile app use the same restrictions to present data based on the user logged on to the device, and the work team the user belongs to.

Working from either the console or the Maintenance mobile app, craftspersons will see work that is assigned to them, so that they can update the work with hours worked and the parts used as they complete the work. They might also be able to self-assign work if they belong to a work team that enables this. See Self-Assigning Work.

As a supervisor, you will find that work requests appear in your queue for your review, approval, and action. The exact steps that you must take on a particular job depend upon the SLA governing the initial work request. For example, you might be required to perform steps such as, approval, scheduling, cost estimation, and work order assignment. Supervisors are able to return work requests.

Note: On demand maintenance requests made through Archibus Workplace can be managed in the Maintenance Console if the SLA underlying the maintenance request routes the request to a user who has access to the Maintenance Console.

Background Data

A business process owner sets up the validating (background) data and maintenance-specific background data from which users will choose values when working with the application.

In addition to using the background data tasks, you can also develop these lists of validating data as you work using the Add New action button found on many of the forms you use to create work requests and manage work. The Add New action enables you to enter basic information for the item. This might be sufficient, but, if needed, you can often enter more information from the background data task. For example, you can enter a building from the Report Problem form, but if you want to add the building contact and the contact's phone number, you can use the Define Locations task to do so. Storing Parts in Multiple Locations

By default, starting with V.23.1, the Maintenance Console includes the feature to track and manage parts by storage location, including the ability to create supply requisitions to transfer parts, and to generate purchase orders for parts when the inventory is low. See:

Tip: The Maintenance Console shows only those requests that are appropriate for each role -- such as supervisors and craftspersons -- and work team. If your work queues are getting long, you may wish to review your work assignments and workflow.
