Add Existing Space to a Scenario

Once you create a portfolio scenario, you need to add to it the buildings and floors with which you want to experiment with space allocations using stack plans. Once you add existing space to a scenario, you can see how your space is currently allocated on the stack plan. Visually seeing your current inventory on a stack plan can help you spot anomalies such as floors with a lot of available space, departments split between two floors when they could easily fit on one floor, departments that could be better located because they work closely with one another, and so on.

Depending on the scope of the scenario, you can add a few or many of your floors or entire buildings to the scenario. For example, if your scenario pertains to a projected growth forecast for the domestic arm of your organization, you could bring in all your current domestic inventory. You could then add space to the portfolio as necessary to fulfill your projected growth. Or, you may want a visual representation of your current allocations in a particular building. In this case, you could bring in an entire building so that you can view its stack plan.

As you work with a scenario, you can continually add new buildings and floors from your inventory. If you find that they don't suit the needs of this scenario, you can remove the floors and buildings from the scenario. If you find that your current inventory does not provide enough space for your projected needs, you can add new space to a scenario.

Procedure

To add space from your current inventory to the scenario:

  1. On the Space & Portfolio Planning Console, select a scenario, move to the Stack Plan tab, and choose "Add New: Floors/Building from Inventory" button in the Allocated Buildings pane, located in the top left area of the Console.


  2. The system presents the Select Buildings and Floors form, listing your current inventory.


  3. Before adding a building or floor to the scenario, you may want to check its details and current allocations. Use the Details button to access information about the floor or building.
  4. If you want to add all the floors in a building, select the building. Otherwise, choose the Floors button for a building and select the floors that you want to add to the portfolio scenario.
  5. Choose Add button.
  1. The system returns you to the Console, where you will see the new building or floor listed in the Allocated Buildings pane. Display this building in the stack plan. Depending on which areas you specified in the form, you will see that the stack plan's stack bar for this floor includes blocks for the usable area, vertical penetration, service area, remaining area, and other unavailable area.
  2. In the Events pane, you will see that there are new entries with the Start Date and the title "Add Space from Inventory," such as "25-11-2015-Add Space from Inventory." Click on the allocation event, and you can see the allocations that the system generated. The allocations will indicate if the new space is leased or owned, depending on how you completed Type of Space, and there will be records for each new type of space you created (usable area, vertical penetration, service area, remaining area, and other unavailable area) depending on how you completed the form. These allocations are stored as records in the Groups table.

For example, the below Events pane shows that on October 16, 2015, the user added space from inventory and the system:
