Health & Safety Operational Reports

The Operational Reports process provides access to summary and detailed information related to safety programs and initiatives. You can view high-level reports and then drill down for greater detail. Report topics include: training requirements, personal protective equipment (PPE), medical monitoring, work categories, work restrictions, and more.

In addition, this process presents incident-related information that is integrated into location maps and building floor plans. This enables you to get the big picture on safety problems across the enterprise or across the world.

Since documents can be associated with much of your Health & Safety data, many of these reports provide a View so that you can view the documents associated with each record. If a document is not associated with the record, the View button displays in gray so that you cannot select it.

Training, PPE, and Medical Monitoring by Work Category

It can be helpful to review the items and requirements associated with a particular work category, such as reviewing the training requirements, the PPE types, and the medical monitoring required by a certain work category, such as chemical technicians. In the left pane, select the work category, drilling down if necessary if you've established multiple levels of work category. In the right pane, use the tabs to scan the training requirements, the PPE, and medical monitoring required for this work category.

Employee Training, PPE, and Medical Monitoring

With this report, you review basic requirements for training, PPE, and medical monitoring for a particular employee. First, select the employee in the top frame and click Show. In the bottom frame, page through the tabs to see the training, the types of PPE, and the medical monitoring required for this employee.

Employee PPE Types

Use this report to examine the PPE types for each employee. You can filter the report to show employees of a certain employee standard, department, or division. For example, if you filter by employee standard, the report lists all employees of this employee standard and the types of PPE they are assigned. You can scan this list to ensure that employees of the same standard all have the same PPE.

Training Reports

Personnel by Training Program

It is often necessary to view the personnel who have participated in, or are due to participate in, a particular training program.

From the list of hierarchical training programs, drill down to the training program for which you want information. The system displays a list of employees assigned to the selected training program.

Employee Training Details

Use this report to review pending as well as completed training for a particular employee.

Comprehensive historical data related to training for each employee in the organization enables you to determine the training programs that an employee has taken, the date training was administered, and other details about the employee's training experience. Such documentation may be required to comply with workplace regulations

Training Program Details

Run this report when you need to review information about a specific training program. Specify the training program, and the system presents you with detailed information about the program and general information about employees assigned to the training program.

Training Program Hours

Check this report for the total number of hours each staff member attended training. You can then compare this to scheduled training for each employee. You may wish to restrict the report to a certain training course, employee, or even training related to an incident.

Training Programs by Vendor

Use this report to see a list of courses offered by each vendor.

Incident Reports

When workplace mishaps occur, occasional users and safety officers will enter incidents into the system so that the safety manager has documentation on the specific mishaps occurring at your site and the immediate and long-term correction that you took to solve the problem.

This set of reports presents your incident data in a variety of groupings. You can search for incidents by various criteria and then delve into the report details to glean all the facts available about the incident. To obtain these incident details, you click on a specific incident to access the Incident Details form, which lists all incident details, witnesses, responses, resulting work restrictions and resulting training initiatives.

From the Incident Details pane, you also have the option to generate the OSHA Accident Report (Form 301).

Note: Some of these reports include the Lost Work Days value to indicate the impact of the incident. If you have completed the Lost Work (days) Manual Entry field for a workplace restriction, the system presents this value. Otherwise, the system calculates the value for Lost Work Days. For information on the calculation, see "Duration Days" in Track Work Restrictions

Recent Incidents

It is often convenient to group incidents by time frame and review the details surrounding each incident. Doing so can help the safety manager discern trends in incident occurrence.

With the Recent Incident report, you can search for incidents that have occurred within a fixed time frame. The default time frame is the preceding 90 days, but you can specify your own time frame using the Configure Application Parameters task.

Incident by Types

Use this report to see all incidents that occurred in the last 90 days. This is helpful for spotting trends based on current conditions; for example, perhaps snow removal issues are leading to a number of falls. Click on any incident to access its details and the button for generating the OSHA Accident Report (form 301).

Incident by Location

Use this task to search for incidents by a variety of criteria. From the list of incidents, click on an instance to see all of its details and access the button for generating the OSHA Accident Report (form 301) for the selected incident.

Incident Service Requests

If the safety manager has access to the Archibus Corrective Maintenance application, they may have created service requests to resolve the conditions leading to the workplace mishap. For these situations, you can run this report which lists all incidents for which service requests were created.

Work Restriction Reports

Employee Work Restrictions

You can quickly see a list of work restrictions that apply to a particular employee. This information is helpful when you need to know the present, future or historical restrictions placed on the employee. You can view work restrictions assigned to all employees if you do not select an employee name in the Filter.

There are two types of restrictions you can view: Active and All. When you select the task, it displays restrictions that are presently in effect; use the button in the upper right corner to toggle the list to show a list of all restrictions (present, past and future restrictions assigned to an employee).

Work Restrictions by Employee Standard

You can quickly see a list of work restrictions that apply to a particular Employee Standard. This is helpful to note if certain positions are encountering more injuries and medical issues than other positions. An employee standard is created as part of Facilities Background Data and it is used to categorize the employees in your organization by job type

To view work restrictions associated with a particular employee standard, select the standard in the left pane. In the right pane, you will see employees of this standard that have work restrictions.

Work Restrictions by Location

It can be valuable to assess which company locations have the most work restrictions associated with them. A high number of restrictions might indicate a safety problem or a need for some specialized training. A work restriction is associated with location if an incident occurring in this location resulted in a work restriction

In the left pane, drill down to a location (site, building). In the left pane, the system shows work restrictions that result from incidents that occurred in this location.

Medical Monitoring Reports

Medical Monitoring Report

This report presents all of your medical monitoring events. For best results, you will want to use the filter to limit the list to a certain time period, property, or monitoring type.

Employee Medical Monitoring

With this report, you can see an employee's medical monitoring events as well as any work restrictions that originate from a medical monitoring event. Use the filter to limit the list of medical monitoring events by employee standard, employee, or division. Click on a medical monitoring event to see its associated work restrictions.
