Archibus and Serraview Integration

Story 1: Add Serraview Space Planning & Optimization to an Archibus Deployment
(Export Archibus Data to Serraview and Send Data Back to Archibus)

Goals

You have Archibus SaaS in place. Since your company supports an activity-based, agile working environment, you would like to manage allocation with Serraview's features for real-time use, workplace neighborhoods, and drag-and-drop scenario planning.

If you make allocation changes in Serraview, you want to update Archibus with the changes.

Note: Story 1 also applies to deployments of the Archibus (Non-SaaS). However, there is a difference in how you configure drawing management.

Solution

Add Serraview Space Planning & Optimization to your Archibus deployment.

This entails:

Publish floor plans from Smart Client Extension for use in Serraview.
At scheduled intervals, Archibus transfers space inventory data to Serraview.
- The Archibus space inventory includes initial occupancy and space allocation data from human resources.
- It also includes floor plans and relevant data tables.
In Serraview, use the Space Planning & Optimization module to optimize space allocations throughout the facilities portfolio.
At scheduled intervals, the space allocation changes are sent back to Archibus so you can manage Service Desk, Building Operations, and Asset Management functions in Archibus.

For data transfers in both directions, you can set the transfer schedule, as well as suspend and re-activate the transfer schedule as required.

For example, suppose you add a new facility to your real estate portfolio and create new floor, room, employee and department records in Archibus. A scheduled data transfer sends this inventory to Serraview where space planners can assign rooms to departments and employees. Serraview becomes the system of record for these assignments. The assignments are sent back to Archibus, and Archibus remains the system of record for room inventory, employee records, and organizational levels. You can add or edit business units and people in Archibus whenever necessary.

System of Record

In this scenario, Archibus acts as system of record for space inventory and employees. This includes:

floor plans
locations (buildings, floors, and rooms)
room areas
organization information (divisions and departments)
classifications (room categories and room types)
employees
employee assignments to divisions and departments

Serraview is the system of record for space allocations and occupancy. This includes:

divisions and departments assigned to rooms
room categories and room types assigned to rooms
buildings, floors, and rooms assigned to employees

Example Workflow

Sign in to Archibus SaaS. This gives you access to both the Archibus and Serraview platforms.
Examine your floors, rooms, and room allocations.
After a "sync to Serraview," floor plans, rooms, room allocation data, and occupancy data shows in Serraview.
Use Serraview VBS to optimize the a building: re-stack the floors, co-locate departments, and consolidate vacancies. The main result is that employees have been moved and rooms have been allocated to new departments.
After a "sync to Archibus" to round-trip the occupancy changes, a Workplace user (who has been moved in Serraview) can request maintenance that defaults to their new location.
