Manage Active Projects

As the Capital Budget Project Manager, you need to evaluate funding requests from multiple Project Managers on a daily basis, and to allocate resources to these projects. The Manage Active Projects task facilitates this work by providing a single project status summary console from which you can manage multiple projects in any stage.

From the Manage Active Projects task, you can:

Project Totals by Status

The Project Totals by Status pane provides the estimated duration for projects, the cost estimated design cost, and the cost adjusted by the probability of the project receiving funding. These totals are given for all projects and for projects having a specific status, providing you with critical information as you evaluate funding for individual projects. By reviewing the estimated time and cost for projects by project status you are able to evaluate the potential amount of work in the pipeline, and the cost committed to approved work. These totals help you evaluate whether your organization is able to handle the scope of commissioning work as projects in the pipeline become active.

From the Project Totals by Status pane, you can drill down to see details for only projects having a specific status: click on the summary line for a project status and the Projects pane shows only projects for that status.

Procedure for Managing Active Projects.

To manage active projects:

  1. Select the Planning / Manage Active Projects task.

    The Project Totals by Status pane shows duration, cost, and cost adjusted by funding probability totals for projects by the project's status. The cost and duration totals are given for all projects and for each group of projects having the same status.

    The Projects pane gives the Funding Probability and Adjusted Estimate for each project. The Adjusted Estimate is the project's Cost Budgeted multiplied by the funding probability for the project.

  2. Export the project totals to Excel by clicking XLS.
  3. To view only projects having a specific status, click on a status in the Project Status column. The Projects pane refreshes to show only the projects having that status.
  4. Export the information for the projects showing on the screen to Excel by clicking XLS.
  5. To review details for a project, select the project in the Projects pane. The Edit Project Profile form appears. From this form, you can:
    • Edit the project if it has not yet been approved. For details on the information you can enter, see Requesting a Project.
    • Withdraw a project if it is requested by clicking Withdraw.
    • Request a project if it is created by clicking Request.
    • Route a project for approval that has been requested. See Approving Projects.
