Reserving a Part in Inventory
Supervisors can use the Reserve New Part Inventory task (available from the Navigator paths at the top of this topic) to review estimates by their status, and to reserve parts for those estimates that have the status In Stock, Not Reserved. The task enables you to test out different scenarios for distributing parts that do not have sufficient quantity on hand to meet all estimates. You can test out different scenarios before committing the changes to the database.
From this task, you work with estimates that have the status "In Stock, Not Reserved." The system assigns a Part Status of "Reserved" or "Not In Stock" to estimates when they are first saved, and then updates these statuses whenever there is a change in the Quantity Available. When updating, the system might assign the "In Stock, Not Reserved"' status to an estimate. This status means that there is inventory available for this estimate. Using the Review New Part Inventory task, you can review all these unreserved 'In Stock, Not Reserved' estimates to determine the work orders for which you want to use the parts. See Part Status for Work Request Estimations for details on how the system updates the Part Status.
When you reserve parts from this task, the estimate is saved as a pending reservation with the system updating other estimates based on this pending reservation. This enables you to see the results of reserving the estimate before committing the changes to the database.

When you reserve parts for estimates from the Reserve New Part Inventory task, the changes are pending until you commit them by clicking Commit. This enables you to test out different part distributions without committing the changes to the database when there are not enough parts for all estimates.
Here's how pending reservations work:
- You can reserve parts for part estimates that are "In Stock, Not Reserved." Initially, all estimates with this status have the Reserve button enabled .
- After clicking Reserve for an estimate, the system updates the status for other estimates based on this pending reservation.
- If the Reserve button is still enabled in the row for an estimate, this means that there is still sufficient inventory to reserve it.
- If the Reserve button for an estimate becomes disabled, this is because, given the estimates you have pending, there would no longer be sufficient inventory for this estimate.
- To toggle off a pending reservation, click on its Reserve button. Pending reservations are indicated by Reserve buttons that have a check mark.
- The system updates the status of the other estimates by adding the Quantity Estimated for this estimate back to the Quantity Available.
- The Reserve button for other estimates that were disabled might become enabled if the new Quantity Available is sufficient for their estimate
- The part's Pending Quantity Available and Quantity Reserved are shown in a panel above the rows of part estimate records. These fields change dynamically whenever you click on a Reserve button or toggle it off.

To reserve parts:
- Run the Reserve New Part Inventory task, and from the Reserve New Part Inventory form, use the Filter to locate the work requests for which you want to reserve parts. By default, the Filter is set to show work requests that have part statuses of "In Stock, Not Reserved", and "Not In Stock."
Tip: If you want to see estimates with the Part Status of Reserved, you will need to select the Reserved status and click Filter. Including estimates with the Reserved status means that after you commit changes, the estimates that you reserved will appear on the screen with the status of 'Reserved.' Without this status selected, these estimates would no longer be shown when the screen refreshes.
- Click Reserve in the row for a parts estimate that you are considering reserving. The Reserve button is available for estimates that have the status 'In Stock, Not Reserved'. An enabled Reserve button indicates that there is currently sufficient Quantity Available for this estimate.
Note: If you are using the Maintenance Console (which includes the feature to store parts in multiple locations), the Part Estimation for Part Code pane includes the Storage Location Code. Be sure to click Reserve in the row for the storage location from which you want to reserve the part.
After clicking Reserve, the Quantity Estimated for that estimation is added to the Pending Quantity Reserved field and subtracted from the Pending Quantity Available field. At this point, this is only a display change; no database changes have occurred.
After clicking Reserve, the system compares the new pending Quantity Available to the Quantity Estimated for the remaining part estimates that have a status of "in Stock, Not Reserved."
- If any part estimate is no longer able to be reserved because there are not enough parts remaining due to the pending reservations, then the Reserve buttons for those rows are now disabled.
- The Reserve button includes a check mark to show that the reservation for this part is pending.
- To remove a pending reservation, click a Reserve button that has a check mark. This toggles off the pending estimation.
The Pending Quantity Estimated decreases by that row's estimate, and the Quantity Available increases now that you have removed the estimate.
A disabled Reserved button for another estimate might again become enabled if canceling this Pending Reservation results in the Quantity Available becoming greater than the estimate's Quantity Estimated.
- Do one of the following:
- Commit. After determining the reservations you want to make, to save the pending reservations to the database, click Commit. Based on the changes you have made, the system runs the workflow rule to update the status of the part estimates, and the part's Quantity Reserved and Quantity Estimated are also updated.
- The status for each estimate that has a pending estimate is changed to "Reserved" when you click Commit.
- The status of other part estimates may change. For example, estimates that were 'In Stock, Not Reserved' might now be 'Not In Stock.'
- The view will refresh to reflect these changes. The view will automatically re-run the Filter you entered.
- If a part still has estimates with one of the statuses selected in the Filter, then the view displays the part and its updated part estimate statuses in the lower panel.
- Otherwise, if the part no longer has estimates with any of the statuses shown in the Filter, those part estimates are no longer displayed in the list. For example, if the status has changed to Reserved, and you have not set the Filter to show Reserved parts, that estimate is not shown.
- Be sure that you have set the Filter to include all the Part Statuses you want to track.
- Cancel the pending estimates. If you want to back out of all pending estimates, click Cancel.
- Commit. After determining the reservations you want to make, to save the pending reservations to the database, click Commit. Based on the changes you have made, the system runs the workflow rule to update the status of the part estimates, and the part's Quantity Reserved and Quantity Estimated are also updated.

Note: If the application parameter EditEstAndSchedAfterStepComplete is set to 0, so that estimation and scheduling data cannot be changed after these steps are completed, or if the work request has already been Issued, then you are not able to edit or delete the estimates for work requests.
Editing part estimates
If there are no pending estimates for a part estimation, you can edit the Quantity Estimated for estimations shown on the screen.
- From the Review Work Estimates Part Estimates form, click Edit in the row for an estimate.
- If there are pending reservations for this part, a message asks if you want to cancel the reservations. Click Yes to continue.
The Edit Part Quantity Estimate pop-up window appears.
- Enter the revised estimate in the form.
- Click Save.
The Quantity Available and Quantity Estimated are updated to reflect your changes.
Deleting part estimates
You can delete estimates if there are no pending estimates for the part.
To delete a part estimation:
- Click X in the row for the estimation.
- If there are any pending estimations, a message asks if you want to remove your pending reservations. Click Yes to continue.
The workflow rules to update the status for part estimates runs in response to this change in inventory.
