Workplace Services / Hoteling / Service Bookings

Servicing Bookings

Once a booking is made, various personnel may be required to provide service for the booking. For example, they may need to inspect the room to make sure that it is ready for occupancy, check the telecommunication features, or deliver resources that the user indicated in the resources portion of the booking request.

If your job in the organization is to service a booking, you can run the Service Bookings task to access basic information about the booking and room, and prepare the room accordingly.

Note: If your site supports self-service users reserving working space using Archibus Workplace, this view will include bookings generated from the Hoteling application as well as Archibus Workplace. Bookings generated from Archibus Workplace are automatically approved. See Using Archibus Workplace.

Note: In the filter, the Room Transaction code includes Only Service Bookings with Request activitytype = SERVICE DESK - HOTELING.

To prepare to service a room that has a booking:

  1. Run the Workplace Services / Hoteling / Service Bookings / Service Bookings task.
  2. In the top form, filter the list of bookings to show just those that you need. For example, you can restrict to a specific booking (if you knows its value Room Transaction Code); you can search for bookings for a particular building, floor, or room; you can search for only approved or requested bookings; and you can search for bookings of a specified time frame.
  3. Once you enter your search criteria and choose Show, the system presents a list of bookings that meet this search criteria.
  4. For each booking (as stored in a Workspace Transaction record), you can access basic information about the booking. The Hoteling Resources Required field lists any specific instructions for this booking, such as the need for snacks, network cabling, coffee delivery, and so forth. (These types of resources as specified by the requestor when booking the room.)
