Allocated Room Area (Concept)
If you are working with the following methods, you will encounter the Allocated Room Area field in many reports and statistics:
- Space / Space Inventory (Workspace Transactions Enabled)

Allocated Room Area for Workspace Transactions
The Allocated Room Area field of the Workspace Transactions (the rmpct
) table represents how much space (both space-wise and time-wise) is allocated to a particular instance of use. It is calculated as:
rmpct.area_rm = (the corresponding room’s area) * (pct_space / 100) * (pct_time / 100)
This instance of use can then be billed to the corresponding department
Allocated Area for Rooms
Space reports sum the Allocated Room Area field of the Workspace Transactions table to the appropriate room. For example, consider room HQ-19-106. This is a storage room with an area of 9.26 feet, as recorded in the Rooms table.
Suppose the space in this storage room is shared so that three different departments equally divide its space. You would create three Workspace Transaction records with Percentage of Space at 33%, Percentage of Time at 100%, and the appropriate department specified for each record.
When you run the Update Area Totals action for the current date (this example does not consider time percentages), you will see the following Allocated Room Area values:
As you can see, room 106's area of 9.26 feet has been evenly distributed such that three different departments are each responsible for 33 percent of this area, that is 3.09 feet.
Space and Time Percentage Example
Consider another example.
- Room 102's area is 160 square feet.
- During the month of September, Department A uses 50 percent of the space during the first half of the month.
- During the month of September, Department B uses 50 percent for the entire month.
- Thus, the area used by Department A during the first two weeks of September is not assigned for use during the second two weeks of September.
- You run Update Area Totals with Start and End Dates of September 1 and September 30.
The Workspace Transaction records will be:

Since Department A uses 50 percent of the room's space during 50 percent of the specified time frame, then the Allocated Room Area for this instance of use is 40 square feet. Department A will be charged for 40 square feet of space.
The allocated room area for Department B is 80 square feet, since it is suing 50% of 160 and this occurs 100% of the time.
Space reports sum the Allocated Room Area field of the Workspace Transactions table to the appropriate room. For this room, the above scenario would show a total Allocated Room Area of 120 for the period of 9/1 to 9/30. The reports showing under-allocated and over-allocated rooms would then flag this room as having unused area.
