Invoice Administrator
Once property and lease costs are entered and approved through the Costs application, and chargeback costs are generated and approved, Invoice Administrators can use the Chargeback & Invoicing application to bill for the approved Actual Costs that are receivables, and then manage the payments received from these bills.
From the Chargeback & Invoicing application, as the Invoice Administrator, you can:
- Use the Invoice Wizard to
- Assign cost to invoices. See Assign Costs Tab.
- Issue invoices once they are finalized. See Issue Tab.
- Track the payments you receive and when you receive these amounts. See Manage Tab.
- Manage overpayments as prepayments that can be applied to future invoices. See About Prepayments.
- View invoice details
- View invoices for leases, buildings, properties, or accounts.
- View Accounts Receivable report
- View the Invoice Aging report.
Getting Started
Before you can issue invoices for approved costs, the Business Process Owner must develop:
- Your lease, building, and property background data using the Background Data task of the Leases or Portfolio applications. See Manage Background Data.
- Your property and lease cost categories. See Define Cost Categories by Classes.
Before you can issue invoices:
- The Lease or Portfolio Administrator adds your lease, building, and property data using the Portfolio Edit tasks available from either the Leases or Portfolio applications. See Overview of Tasks for Editing Leases and Portfolio Items.
- The Cost Administrator adds costs for leases, buildings, properties, or accounts and approves them using the Costs application. See Cost Wizard: Overview.
