Uses of Hoteling (Booking Working Spaces)
There are many ways to use the hoteling features at your site. Depending on your company's operations, you may have several different types of people book rooms (or space within rooms) for temporary use to solve many types of space issues. Below are some common uses:
Use | Description |

Sites with no permanent seats | Rather than assign staff permanent seats, a site might implement a hoteling strategy for all employees. Whether employees are in the office full time or only occasionally, each time they work in the office, they book a working space. |
Telecommuters | Many companies offer their employees the ability to work primarily at home. These employees might need to periodically come into the office for meetings, presentations, and so forth. These employees can book an office so that they have a place to work on the days that they come to the site. |
Visiting employees | For companies with multiple sites, employees may periodically need to work at other sites. For example, the sales managers from each region may leave their regional sites and all meet at the corporate headquarters for a week of meetings and training sessions. These users can book seats at the corporate site so that they have a place to work when they are not in meetings and training sessions. |
Contract workers | Companies often hire temporary contract workers. When these workers arrive at the site, they need an office to work in. With the Hoteling features, the employee to which the contract workers report can book rooms so that the contract workers have adequate space the moment that they arrive for the job. |
Outside vendors | Outside vendors and contractors might periodically require offices and rooms. For example, the construction manager overseeing a renovation project may wish to have an on-site office; a painting contractor with a few employees may wish to book a room so that the employees have a place to store supplies, meet upon arrival, take breaks, and so forth. The maintenance manager, or other employee in charge of the outside vendors, can book rooms on their behalf. |
Agile work teams | If your company supports agile work environments, in which members of work teams work together in large rooms to promote communication and creativity, you will need to book the room in which the team members will meet. For example, if a work team composed of members of different departments is coming together for a few weeks for a particular project, you need to book a large room in which these users can meet. If agile work environments is an important part of your operations, you might want to set aside some large rooms as hotelable, and be sure that they have adequate capacity to house a work team. |
Swing space (displaced employees) | When space is renovated, the affected employees often need to vacate their offices for a few days. These employees can temporarily work in hotelable rooms until they are able to return to their regular offices. The department manager of the affected employees usually books seats for displaced employees. |
