Reviewing Bookings
To review bookings at your site, run the Review Bookings task from a path specified at the top of this topic.
Note: If your site supports self-service users reserving working space using Archibus Workplace, this view will include bookings generated from the Create Bookings task, as well as from Archibus Workplace. Bookings generated from Archibus Workplace are automatically approved. See Using Archibus Workplace.
Step 1: Search for Bookings
In the upper pane, you search for the bookings that you want to display. Make your search as broad or narrow as you desire by completing the appropriate fields, and choose Show in the upper right corner. Note that you can search for booking in the future, as well as those that already occurred.
Note: Bookings are stored in the Workspace Transactions table. The Percentage Code field is the identifying field for each Workspace Transaction record. If you know the exact identifier of the booking, as stored in the Percentage Code field of the Workspace Transactions table, you can enter this value in the search criteria.
Step 2: Review Bookings
In the bottom pane, the system displays the bookings meeting your search criteria. From this list, you can do the following:
- Cancel a booking.
- Choose the Show Floor Plan button to see the room with the booked seat highlighted on a floor plan drawing.
- Choose the Details button to see information about the booking, such as its requested resources, the employee who associated with it, the visitor it is for, the division and department that will be billed for it, its status, and so forth. Note that if a booking is recurring, choosing the Details button will display all the generated bookings for the recurring booking.
- Verify the current status of your booking by reviewing the Status option. Depending upon how Hoteling has been configured at your site, the booking may be automatically approved, or may be routed to an approver. If your status is Requested, the system can be configured to send you email notification when the status changes to Approved or Rejected.
