Management Reports
Safety managers and safety officers will find the following reports handy for analyzing their Health & Safety issues.
The "Pending" Reports
As a safety officer, you will want to monitor the upcoming due dates of the safety program elements (medical monitoring, PPE renewal, and training requirements) and stay apprised of upcoming and overdue items. This is particularly important for safety program elements that are required for certification or compliance with government regulations. Use the below reports to check the status of your requirements and quickly see by color the items that are upcoming and overdue. For example, items for which the deadline has passed appear in red; upcoming items appear in gold. You can configure the pending time frame, such as items due within the next 15 days, using Background Data / Configure Application Parameters task.
When managing your safety program requirements, it is important that once the event occurs that you update the system with the completed date, enter any notes, and update the status. (See these topics for information: Update medical monitoring events with the results of the medical exams, Enter the details of delivering PPE, and Enter the details of a completed training program ). Items for which you do not update this information will appear as overdue in the below reports.
For any of these reports, you can optionally further refine the results by using the filter console. For example, you may to further refine the PPE report to PPE of certain employees, equipment standard, or PPE type.
PPE Renewal
It is critical to replace or renew PPE when necessary, both for employee safety and to meet any regulatory requirements. For example, if you miss the deadline to replace a safety helmet, you are jeopardizing the employee's safety as well as ignoring safety regulations. Examine the PPE Renewal color-coded report and you can identify PPE renewals that are past deadline and also see upcoming PPE renewals that fall within a predefined time frame, such as within the next 15 days.
Pending Training
It is important to keep employee training requirements up-to-date, both for employee safety and to meet any regulatory requirements. Use this report to quickly assess your compliance with internal and external training requirements and determine your upcoming and missed training.
Pending Medical Monitoring
As a safety manager, you must verify that employees receive the proper medical exams in a timely manner in order to follow up on workplace injuries, ensure that for employee safety for their jobs, and meet any regulatory requirements. Use this color-coded report to quickly identify any employee whose medical monitoring is past deadline. You can also see pending medical monitoring events due to occur within a predefined time frame, such as the next 15 days.
The Incident Reports
Note: The below incident-related reports typically provide all the information that is required for government reporting, both within and outside of the U.S. For these reporting requirements, you may be able to submit a standard Archibus report rather than complete a government form.
Note: Some of these reports include the Lost Work Days value to indicate the impact of the incident. If you have completed the Lost Work (days) Manual Entry field for a workplace restriction, the system presents this value. Otherwise, the system calculates the value. For information on the calculation, see "Duration Days" in Track Work Restrictions
Incidents Map
Use the Incidents Map report to see the geographic locations of your incidents and note location-related trends. For information, see Incidents Map.
From this report, you can select a documented work place mishap (incident) and generate the OSHA Accident Report, Form 301 for this incident.
Incidents Count
For details, see Incidents Count. From this report, you can select a documented work place mishap (incident) and generate the OSHA Accident Report, Form 301 for this incident.
Incidents Log (OSHA Form 300)
For details on any incident, click on it and the system displays the incident and its related witnesses, work restrictions, medical monitoring, and trainings in its own pop-up window. Note that the filter includes a "Show Only Employees" check box so that you can limit the report to just those incidents that involve your employees, and exclude incidents that affect outside contractors or visitors to your site. If you decide to generate an OSHA report from the Incidents Log, the system ignores the restrictions you set in the view's Filter panel and presents its own dialog for restricting data.
This report lists all incidents meeting the restriction, with each incident listed in its own line. This report is similar to OSHA’s Log of Work-Related Injuries and Illnesses report, form 300. For your convenience, the Incidents Log report includes a button with which you can generate the OSHA Form 300 report.
Incidents Summary (OSHA Form 300A)
This report summarizes your incident data according to incident type (fall, general accident, commuting-related) and totals the number of incidents of each type, resulting lost work days, resulting work restrictions, and so forth. Note that the distinction between days away from work, days with job restrictions, and other days comes from completing the Restriction Classification field for each restriction.
This report is similar to OSHA’s Summary of Work-Related Injuries and Illnesses Report, Form 300A. For your convenience, the Incidents Log report includes a button with which, you can generate the OSHA Form 300A report.
Work Restriction by Category
Use this report for an overview of work restrictions and the employees assigned to each restriction.
In the left column, select a work restriction. In the right column, the report displays the employees assigned to this type of work restriction.
There are two types of restrictions you can view: Active and All. When you select the task, it displays restrictions that are presently in effect; use the button in the upper right corner to toggle the list to show a list of all restrictions (present, past, and future restrictions assigned to an employee).
