Add Locations to a Space Requirement
The Add Baseline Locations features is used in two situations.
The Define Space Requirements Task
You may find that you have generated a space requirement from a few floors but you want to update the space requirement to include additional floors. Rather than start over with all the floors that you desire, you can use the Add Baseline Locations button to update your space requirement items with information from additional floors.
- Run the Define Space Requirements task.
- Select the space requirement that you wish to update.
- The system moves you to the Edit Requirement form, where you will see the Add Baseline Locations button in the right corner.
- Choose this button and the system presents a form for choosing the floors that you wish to add to the space requirement.
- The form notes the floors which already contribute to the space requirement; you cannot select these floors again.
You can choose whether the system should update both the Baseline and the Period 1 or just the Baseline. You might have edited the Period 1 values to represent changes from your baseline (see Edit Space Requirement Items); if so, you would not want to overwrite these manually-entered values using this action.
Once you process the form, you can check the values in the Edit Space Requirement Items grid, and you will see that the cost and Area of Requirement values are updated to reflect inclusion of the new floors. Similarly, there may be new records to reflect the organizational units that exist on these new floors and that were not on the floors for which you originally generated records.
Portfolio Scenario at the Functional Group Level
You can use this feature when working with a portfolio scenario at the functional group level to generate space requirement items.
- On the Space & Portfolio Planning Console, create your portfolio scenario at the functional group level.
- Move to the Space Requirements tab, which will list the generated space requirement for this portfolio scenario.
- Click the Add Baseline Locations button, and the system presents the below form. Note that the from is slightly different than when using the Define Space Requirements task because it includes the option for how you want to summarize space.
- Complete the form, and the system generates a space requirement item for each department on each floor (or each type of room standard for each department on each floor, depending on your selection in Summarize Space From). You can now edit these generated Space Requirement Item records to complete the Functional Group Title field. See Concept: Functional Groups
