Chargeback Exception Reports
Note: The Space module does not support groups. Space module users should ignore the below group-baesd reports.
Before running the chargeback routine, you may wish to review your room and group assignments and common areas to ensure that all areas are properly accounted for. The chargeback processes offer a number of reports for verifying your common and departmental designations.
If you find problems with your data, you can:
- have the system reconcile workspace transactions (workspace transaction-enabled only, not available with Space module)
- have your space manager or CAD specialist correct the inventory using the Space Inventory application or Space module.
Workspace Transaction Exceptions (Archibus non-SaaS only)
If you are using the workspace transaction-enabled processes, you can run the Workspace Transaction Exceptions report which reports on eight different types of exceptions that you may encounter.
Note that users of the workspace transaction-enabled method will find that the below reports for room exceptions and vertical penetrations are covered with the Workspace Transaction Exception report. These users will still need the Group reports and Mixed Inventory reports below.
Rooms/Groups with Department and Prorate
If a room or a group has a department assignment, the area belongs to that department and is not considered common area. Therefore, the area should have a Prorate value of NONE.
If your rooms and groups are correctly categorized as either department area, common area, or vertical penetration area, this report will show no records.
This report shows groups and rooms that are not vertical penetration areas and that have a value for Department Code and have a Prorate value of SITE, BUILDING, or FLOOR. Rooms and groups meeting this criteria and showing in this report are miscategorized and should be examined as an area cannot be both assigned to a department and considered common area.
You can return to the Define Locations task or the Define Groups task to set the rooms and groups as either common area or department area.
Rooms/Groups with Neither Department nor Prorate
A room or a group that is not a vertical penetration area should have either a department assignment and a Prorate value of NONE, or have a Prorate value of SITE, BUILDING, or FLOOR and no department assignment. If an area has neither a prorate value or a department assignment, it is neither common area or department area and will not be accounted for in the space inventory or the chargeback routine.
If your rooms and groups are correctly categorized as either department area, common area, or vertical penetration area, this report will show no records.
Note: The exception is open plan areas. The open plan area is defined by a room but the individual workstations are assigned to departments. If your inventory includes an open plan work area, this report will show this record. See Open Plans and Workstations for more information.
This report shows groups and rooms that are not vertical penetration areas and that have no value for Department Code and have a Prorate value of NONE. Rooms and groups meeting this criteria and showing in this report are incorrectly categorized and should be examined as an area should be either assigned to a department or considered common area.
You can return to the Define Locations task or Define Groups task to set the rooms and groups as either common area or department area.
Vertical Penetrations with Department or Prorate
Vertical penetrations are stored as rooms. By definition, vertical penetration areas are part of the building's structure and are not usable areas; therefore, they are not common areas that are used by all departments and should not be prorated to be distributed among departments. Vertical penetrations should not have a value for Department Code and Division Code and should have a Prorate value of NONE.
If your vertical penetrations are correctly categorized, this report will show no records.
This report shows any vertical penetrations (rooms with a room category whose super-category is VERT) that have a value for Department Code or have a Prorate value of SITE, BUILDING, or FLOOR. Rooms meeting this criteria and showing in this report are miscategorized and should be examined. You can return to the Define Locations task to edit the information of the vertical penetration areas.
Mixed Inventory in Prorate Area (Archibus non-SaaS only)
This shows what groups and rooms are “mixed” at any prorate level. The rule for “mixing” room and group inventory in prorate areas is this:
At the maximum level set by a prorate area (rm.prorate, gp.prorate, or fl.prorate_remain), rooms and groups cannot co-exist, UNLESS the rooms are service common areas or vertical penetrations.
Notice that for the sample HQ project, this report shows this violation. In the HQ building and MARKET site, there exists rooms and groups, and there also exists rooms prorated to BUILDING and to SITE.
