Updating Actions

As the project progresses, you will need to update action information, such as the actual date started, date completed, person-hours performed, and the action item status. When you are executing a project, you may want to edit the actual costs associated with an action. You can review and edit actual costs using the Management Console Adjust tab.

To update an action, including actual costs:

  1. Select the Execute / Management Consoles: Adjust task.
  2. Select the project that contains the actions that you want to edit.
    The Management Console appears with the Request Change Order tab selected.
  3. Select the Update Actions tab.
  4. Select the action that you want to edit.
  5. Edit the Cost - Actual (Capital) and Cost - Actual (Expense) values.
  6. Edit the following additional fields as necessary:

    Completed By/Date Completed: If the action item is completed, you can add this information for it.

    Action Item Status: Update the status to reflect the action's current status. Reports, such as Action Status by Action Type, use the action item status.

    Date Started: Enter the actual date the action started.

    Document: Click the Check In New Document button next to the Document field to select a document to associate with the action.

    Duration- Actual (Days) : This field is calculated from the Date Start, Date Completed, and Days Per Week fields, and is not editable.

    Hours - Actual: Enter the number of person-hours spent on the project. For example, if the action's Duration is two days, and two people worked on this action for eight-hour days, then the person-hours for this action is 32 hours. The S-Curve analysis uses person-hours in its calculations for work, so it is important to enter these hours if you are generating S-Curve charts.

    Verified by/Date Verified: If verification is part of your process, add this information.

  7. Click the Save button to save your changes.
