Defining Background Data about your Facility
As a business process owner, you are responsible for maintaining the basic data about the facility by working with the following tasks. If your site uses other Archibus activities, you may find that you have already created this data.
- Define Geographic Locations
- Define Organizations
- Define Employees -- When defining products at your site, you need to document the custodian of a substance, that is the employee who is responsible for taking possession of a particular hazardous product and handles any issues related to it. Since the Custodian field is validated by the Employees table, be sure that any employee who serves as a custodian for a product is defined in the Employees table.
To document your facility's rooms and their components:
- Define Room Standards
- Define Room Categories and Types
- Define Locations (Sites, Buildings, Floors, Rooms)
- Define Subroom Locations
- If you wish to graphically show on floor plan drawings the locations of hazardous substances or areas from which you collect samples for testing, you should also create a room plan in CAD. For information, see CAD User: Overview.
To document the equipment in your facility:
Tips
Drill-down selection lists; Some background data tasks use a drill-down selection list to present the levels of location and geographic data. For information, see Using Drill-Down Selection Lists.
Filter consoles. When editing existing data, you can use the filter console, located at the top of the view, to limit the display of the locations to only those containing the value you enter in the filter console. For information on the filter console, see Using Filter Consoles.
Smart Search consoles: Some background data tasks include Smart Search console. Smart Search helps you more easily locate specific values when working with large data sets by entering values for any column header that appears at the top of the pane. See Restricting Data Using Smart Search.
