Track Training Program Assignments and Results
You use this task to track the progress of an employee's training. You can view the training the employee has completed or has pending. You can also indicate when an employee completes a training program, and can associate a training document with the employee's record. If a training assignment is due to an incident, for example a chemical spill, you can link the training program assignment to the incident.
To view the employees for each training program:

- Select Health & Safety / Track / Track Training Programs Assignments and Results.
- Select a training program. (Be sure to expand the program categories to view individual programs.)
- For the selected training program, the system lists the assigned employees and the dates that they are scheduled to take the training class.
To enter the details of a completed training program
After training has occurred, you can update the system to indicate that an employee has completed a training program. You can optionally attach a training document.
- Select Health & Safety / Track / Track Training Programs Assignments and Results.

Select a training program. (Be sure to expand the program categories to view individual programs.)
- For the selected training program, the system lists the assigned employees and the dates that they are scheduled to take the training class.
- Click on an Employee Name.
- In the bottom pane, the system displays the Edit Employee Training Results form.
- Complete these fields:
- Date Training -- This value shows the scheduled date for the training event. If the event occurred on a date other than the scheduled date, you can update this value with the date that the training actually occurred.
- Document --- Optionally, you can attach documents, such as the employee's test results or attendance record, to the training record.
- For information on working with this document field, see Using the Document Management System.
- The system will automatically add this document to the document library, where the "Document Assigned to A..." field will indicate that this document is attached to a training requirement. For information on the document library, see Documentation / Manage Document Library task.
- Status -- If the training has been completed, set this to Done. Updating this field is important to document that the training event actually took place
- Related Incident Code -- In some cases, a training event may be created as a result of a workplace incident; for example, a workplace mishap occurred because a staff member did not know the proper procedure and so now the safety manager is requiring additional training for this employee. A safety manager may have already associated a training event with the workplace incident by completing the Track Incident/Incident Response tab. If this association has not been previously made, you can do so now by choosing from a list of incidents for this employee. Note that the connection between training and workplace incident can be vital for showing that the company adequately followed up and improved procedures after a workplace mishap.
- Training Notes -- Enter an notes about the class that may be relevant for future analysis or planning. For example, if the employee missed the first few hours of training because there was an emergency pertaining to their standard work, you could note these circumstances in this field.
- Actual Training Hours -- Enter the number of hours that the employee attended this training session. Typically, if the employee attended the entire session, this value will be the same as Scheduled Training Hours, which is displayed on this form and derives from the definition of the training program. However, situations may arise in which the employee can attend only part of a class due to pressing work commitments or other conflicts. In these cases, you can use this field to enter the actual number of hours that the employee devoted to this training class. You can then view any discrepancies with the Management Reports/Training
- Click Save at the top of the Edit Employee Training Results form.
