Using a Bar Code Reader with the Asset Registration Console
Affixing your furniture and equipment assets with bar code tags can greatly improve efficiency and accuracy when entering new assets into the system, as well as ensure proper identification as the assets are assigned to locations and possibly move throughout the facility over their lifetime. For furniture and equipment items, sites typically use a bar code tag that is made of metal or plastic and will last throughout the item's life. The tag has a series of vertical lines representing an alphanumeric value that can be read by a bar code scanner and converted to an alphanumeric. By affixing this type of tag to an asset upon receipt, asset managers are able to use a bar code scanner to quickly determine an item's identification value with a bar code scanner; if working with the Asset Receipt mobile app, they can scan the bar code with their phones.
To use bar codes to register new items through the Asset Registration Console, you need a bar code reader attached to your laptop or computer; this is typically connected through the USB port. Note that no special software is required; the bar code reader scans the bar code lines and converts this to an alphanumeric value that Archibus receives just as if you had entered in through the keyboard.
Entering New Assets
- Open the Asset Registration Console and choose to register one asset or many assets. The system will present a blank form. Place the cursor in the Next # field.
- For the asset you want to register, scan its bar code with the bar code reader. The reader converts the lines to an alphanumeric value and passes the alphanumeric value to the current field, the Next # field. This is copied to the Property Code, Building Code, Equipment Code, or Furniture Code, depending on which type of asset you are adding.
- The Asset Registration form will show the alphanumeric value of the bar code.
- You can now complete other fields for this item, or click Next and process the next item by scanning its bar code.
Searching for Assets
Bar codes also are handy when searching for assets. Suppose you find some unused furniture and equipment in a storage room and you are not sure if it entered into the system. You can scan its bar code and search for the item.
- Open the Asset Registration Console and choose Search for an Existing Asset. The system presents a blank search form. Place the cursor in the Asset field in the Filter.
- For the asset for which you want to search, scan its bar code with the bar code reader. The reader converts the lines to an alphanumeric value and passes the alphanumeric value to the current field, the Asset field.
- The Asset Registration form will show the alphanumeric value of the bar code.
- You can now complete other fields for this item, or click Next and process the next item by scanning its bar code.
