Exchange Integration and Meeting Space Reservation Email
Email notifications for reservations of meeting space are handled differently depending on whether you are deploying Reservations with or without Exchange integration.
- Without Exchange integration. The application sends email notifications with a summary of the reservation, comments, a link to the reservation details, and attached .ics files to import. Email notifications are sent at various stages throughout the reservation process. After a room reservation has been made, the system sends an email invitation to the Requested By employee, and invited external guests . These users are also sent email notifications if there is a change in the reservation or if the reservation is cancelled.
- With Exchange Integration. Exchange sends the updates and cancellations. Since the application emails are not used for these purposes, there is no need to import any ical file into the system. With Exchange integration, Exchange handles the notifications whether or not you are also using the Reservations Plugin for Outlook. See
Whether or not Exchange integration has been configured, notifications concerning overdue approval for a room arrangement or resource can be sent if the room arrangement or resource has the following settings:
- Notification is selected as the action to take when the '# of days to Approve' has been exceeded.
- The setup also specifies the user who should be notified.
