Editing Archived Bills

After a bill is approved, it is archived, and appears in reports that summarize your data. However, if there are adjustments made to bills after they have been archived, you would most likely want to correct the bill to ensure that your data is accurate. Use the Edit Archived Bills task to make changes to archived bills when the bill has had adjustments.

To edit archived bills:

  1. Select the Business Process Owner - Utilities/ Edit Archived Bills task.

    The Edit Archived Bills form shows the list of archived bills.

  2. Determine the bills that need editing:
    • To view any discrepancies, click Audit in the row for a bill.
    • To review bill line items, click Lines.
  3. Select the bill to edit.
      1. Click Edit in the row for the bill you want to edit.

        A message appears informing you that the bill will be removed from the Bill Archive table, and will not appear in reports until it is again approved.

      2. Click Yes to continue.

        The Edit tab appears.

  4. Edit the bill by making any of the following changes:
    • To make a change to the bill, make changes to the data in the Bill section, and click Save.
    • To add a new bill line, click Add a Line in the Bill section. See Adding bill lines for a description of the data you can enter.
    • To edit an existing line, click Edit in the row for the line in the Bill Line List section o the screen.
  5. Approve the bill:
    1. After saving your changes, use the << Select button to return to the Select Bills to review and Approve screen.
    2. Select the check box for the bills you have edited, and click Approve and Archive Selected.

      The edited bills are now archived and will be included in reports.
