Review Design Submissions
Using the Review Design Submissions task, commissioning agents and design professionals can review design submissions and can add new action items for design submissions to track the document's progress from submission to approval. Actions for design submissions can be entered with a percentage in the Action Title that indicates the milestone percentage (degree of completeness) for this draft of the design submission. These percentages can be used to represent critical milestones in your approval process.
The following describes an example workflow for design submission review and approval:
- The commissioning agent submits a Air Handler Unit Construction Checklist document (60% submission) to the design professional for review. (Entered as a new action item with the Action Type of Design Submission.) The design professional reviews the design submission, and the commissioning agent updates the design submission based on the feedback provided.
- The commissioning agent submits a new Air Handler Unit Construction Checklist document (80% submission) to the design professional for review. (Entered as a new action item with the Action Type of Design Submission.) The design professional reviews this submission, and the commissioning agent makes the required changes.
- The commissioning agent submits the final Air Handler Unit Construction Checklist document (100% submission) to design professional for review/verification and approval by the owner's representative. This is entered as new action item with the Action Type of Construction Checklist, and an action Title that indicates this is the final submission, such as "Air Handler- Construction Checklist 100% Approved." The approval is done using the Approve Documentation action button.
- Commissioning design documents when approved are available for use during the construction phase. Using the Approve Documentation action makes the approved documentation available in the construction process when assigning construction checklists or test procedures to equipment assets.
From the Review Design Submissions task, you can:
- Review design submissions for all commissioning projects. By default, the task shows all actions that have the Action Type CX - Design Submissions and that have a document attached. See Review Design Submissions.
- Use a wizard to add new actions for design submissions as the review process produces new versions of these submissions. You can enter a new action for this draft of the design submission, indicating in the title the percentage of completion (milestone status) for the design submission. You can attach the document as part of adding the action. See Adding Actions with Documents Attached.
- Approve design submissions. Once the design submission is finalized, you can approve the design submission. See Approving Design Submissions.
- Edit actions for design submissions. For example, you can enter the Duration - Est. Design, Cost - Estimated (Cap.), and Cost - Estimated (Exp.) See Editing Information for Documentation Action Items.
Reviewing Design Submissions
To review design submissions:
- Select the Design / Review Design Submissions task.
The Review Design Submissions pane shows all actions for commissioning projects that have an Action Type of CX - Design Submissions, and that have an action attached.
- If needed, you can filter by location, work package, Project Manager, or specific project. Enter the criteria in the Filter console, and click Show.
- To review documents for a particular project, select the project from the Select Commissioning Project pane.
- In the Review Design Submissions pane, select the name of the document in the Document column.
- A message appears asking you to select whether to open the document, or to save it to your computer.
- If needed, you can save the document to your computer, and make revisions. If these revisions represent a new milestone status, you can create a new action for the design submission, using the Action Type CX - Design Submission, and indicating in the Action Title the level of completeness for this design submission. You can attach the revised document to this new action by using the Check In New Version button. See Adding Actions with Documents Attached and Using the Document Management System.
